Big Five Shipping ("we", "us") provides air and sea freight forwarding services between the United States and Kenya. This policy explains what personal information we collect, why we collect it, and how we handle it. By using our website or services you agree to this policy.
1. Information we collect
- Contact details β your name, phone/WhatsApp number, email address, and delivery addresses in the USA or Kenya, provided when you request a quote, create an account, or book a shipment.
- Shipment information β descriptions of cargo, package tracking numbers you pre-alert to us, declared values, and delivery details required to move your goods and clear customs.
- Account data β login credentials for the customer portal (passwords are encrypted and never visible to us) and your shipment, invoice and pickup history.
- Payment records β invoice amounts and payment status. We do not store card or M-Pesa credentials; payments are processed by third-party providers.
- Technical basics β standard web logs (IP address, browser type) collected by our hosting provider for security and performance.
2. How we use it
- To provide freight services: receiving, consolidating, shipping, clearing and delivering your cargo.
- To communicate with you about quotes, shipment status, invoices and pickups β by email, phone or WhatsApp.
- To prepare customs documentation required by US and Kenyan authorities.
- To operate and secure your customer portal account.
We do not sell your personal information, and we do not use it for third-party advertising.
3. Who we share it with
- Service providers that make our website work: hosting (Vercel), database and authentication (Supabase), and form handling (Formspree). Each receives only the data needed to perform its function.
- Carriers and customs authorities β airlines, shipping lines, trucking partners, and US/Kenyan customs, as required to transport and clear your cargo.
- Legal requirements β where disclosure is required by law or to protect our legal rights.
4. Where your data lives
Our systems are hosted in the United States. If you are in Kenya, your information is transferred to and processed in the US as part of providing the service. Kenyan customers: we handle personal data consistent with the Kenya Data Protection Act, 2019.
5. How long we keep it
We keep shipment and invoice records as long as needed for business, tax and customs-compliance purposes. You may request deletion of your portal account at any time; some shipment records must be retained where the law requires it.
6. Your rights
You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it (subject to legal retention requirements). Contact us at merchantsupplygroup@gmail.com and we will respond within a reasonable time.
7. Security
Portal accounts are protected by encrypted authentication, and database access is restricted so customers can only see their own records. No system is perfectly secure, so please use a strong, unique password.
8. Children
Our services are for adults arranging shipments. We do not knowingly collect information from children under 18.
9. Changes
We may update this policy from time to time. The "last updated" date above reflects the current version; material changes will be noted on this page.
